Duties of the PRESIDENT ELECT
The duties of the President Elect are as follows:
● to assist the President with the Annual Fall Conference
● to assist the Director of Professional Development in planning and implementing
spring and summer professional development offerings of the Organization
● to serve as Acting President in the absence of the President
● to collaborate and work closely with the executive board members in recruiting
presenters for workshops and sessions
The duties of the office begin at the end of the Annual Fall Conference (AFC).
- Attend all TFLA Executive Board meetings.
- Serve as Acting President in the absence of the President.
- Assist the President with the Annual Fall Conference.
- Prepare a calendar of events and deadlines for the office of President Elect.
- Assist the President and Director of Professional Development in planning and implementing professional development offerings of the Organization.
- Work with the President and Director of Professional Development to encourage world language educators to submit proposals for the Annual Fall Conference.
- In conjunction with the PD Director, make corrections, as needed, to the Call for Proposal form. (The deadline for proposals will be May 1 of each year in which an Annual Fall Conference is held.)
- Select program workshops and sessions in consultation with (and final approval by) the President and Director of Professional Development.
- Assist the President in selecting and inviting the keynote speaker for the AFC.
- Collaborate with the Director of Professional Development to compile the Annual Fall Conference Program.
- Continue to coordinate plans for the AFC with the Local Arrangements Committee for the AFC and provide each Local Arrangements Committee member with an updated copy of the Local Arrangements Manual.
- Write letters for the Journal and the AFC program with a deadline of May 1. Consult with the President so that the content of the letters does not overlap.
- Pass on all records, calendars and pertinent information to the incoming President Elect immediately following the AFC.
NOTE: All documents, materials and publications created for TFLA by the President
Elect becomes the property of the Texas Foreign Language Association.
Role: Work closely with Regional Coordinators to offer professional development in the regions, Organize professional development for spring and summer events, Assist with soliciting speakers and session presenters for the fall conference.

DUTIES of the VICE PRESIDENT
The duties of the office of Vice President are as follows:
● to coordinate membership recruitment
● to serve as the TFLA public relations officer
● to assist the President and the President Elect with Annual Fall Conference facilitations
● to plan and coordinate session and workshop evaluations, with the assistance of the Director of
Technology
● to recommend the Best of Texas presenter to the Board at the Executive Board meeting following the
Annual Fall Conference
The duties of the office begin at the end of the Annual Fall Conference (AFC) and will continue through the
January Board meeting following the end of the two-year term of this office.
- Attend all TFLA Executive Board meetings.
- Serve as Acting President in the absence of the President and the President Elect.
- Prepare a calendar of events and deadlines for the office of Vice President.

Serve as Chairperson of the Membership Committee (consisting of the Director of Professional Development and the Regional Coordinators).
- a. Management of membership (New, expired, renewal notices...).
- b. Promote value of TFLA membership to World Language supervisors and Education Service Centers.

Serve as Chairperson for facilitators and student marshals at the Annual Fall Conference. (The Vice President is aided by the Local Arrangements Committee and its Chairperson.).
- a. Create packets for the Facilitators with explicit instructions regarding distribution and collection of session/workshop evaluations.
- b. Prepare session and workshop presenter packets for the AFC.
- Collect and calculate the evaluations of the sessions and workshops.
- Provide evaluation feedback on session to the Executive Board at the Board meeting following the AFC. The Executive Board will select the “Best of Texas” presenter for the spring SWCOLT conference. (Note: This is the responsibility of the outgoing Vice President, although the incoming Vice President may assist the outgoing Vice President with evaluations.) Based on the evaluations, determine the Top Ten sessions.
- Send thank you letters to session and workshop presenters along with the session/workshop evaluation immediately following the AFC.
- In collaboration with the President Elect and the Director of PD, create a list of potential presenters for the following AFC based on session survey feedback.
- At the end of the outgoing Vice President’s term, pass on all records, calendars and pertinent information and supplies to the incoming Vice President immediately following the AFC.

Duties of the SECRETARY
The duties of the office of Secretary are as follows:
● to record, write, and disseminate official minutes of all Board meetings in a timely manner to the
Executive Board members
● to assist, as needed, with professional development offerings of the Organization
● to categorize and maintain a list of all motions passed by the Board
● to maintain and update, as needed, the Executive Officer Duty Manual
The duties of the office begin at the end of the Annual Fall Conference (AFC) and will continue through the
January Board meeting following the end of the two-year term of this office.
- Attend all TFLA Executive Board meetings and record minutes at Executive Board Meetings.
- Send copies of Minutes to all Board members and post amended Minutes electronically in the Executive Board meeting folder of Google Documents immediately following each meeting of the Executive Board.
- Assist the Director of Finance and the Director of Technology with on-site registration at the AFC.
- In conjunction with the Executive Director, coordinate the annual updates of the official record of the TFLA Constitution, TFLA Bylaws, and the Executive Officer Duties Manual.
- At the end of the outgoing Secretary’s term, pass on all records, calendars and pertinent information to the incoming Secretary immediately following the AFC.

Duties of the MEMBER-AT-LARGE
The duties of the office of Member-at-Large are as follows:
- Serve as a liaison between the Executive board and TFLA members,
- Serve on committees as appointed,
- Fulfill other duties as assigned by the President.
